FormsThe following forms are used to facilitate interaction between the Archives Office and Tasmanian State and local government organisations to gain the authorisation of the State Archivist for the destruction or transfer of State records.
Note: Before completing the above forms, employees should be familiar with the Archives Office disposal procedures. Application to Dispose of State Records (AOT 48) (MS Excel workbook). This application is to be completed when transferring scheduled records to the Archives Office and when making recommendations for the disposal of unscheduled records. Instructions for completing the application are contained within the workbook in a worksheet titled 'Instructions'. Recordkeeping Advice No. 9, Disposal of Scheduled Records provides information on the procedures for the disposal of scheduled records. Recordkeeping Advice No. 10, Disposal of Unscheduled Records provides information on the procedures for the disposal of unscheduled records. Disposal schedule layout template This is a template for the layout of a standard Archives Office disposal schedule which can be used by agencies for the initial development of a draft schedule for submission to the Archives Office. Sample Register of Records Destroyed (AOT 31) (MS Excel worksheet) Central to the accountability process built into the disposal schedules is the requirement that agencies maintain a "Register of Records Destroyed". The register should not be used to list unscheduled records as these will be covered by a destruction Authority issued by the State Archivist. The Register must be clearly identified as the Register of Records Destroyed (under Section 20(2)(b) of the Archives Act 1983) and should include the name of the agency. Agencies may construct the Register of Records Destroyed to accommodate internal procedures for the disposal of records, however, the register must include the information detailed in Recordkeeping Advice No. 9, Disposal of Scheduled Records. |
